This policy explains how M&A SIGNS AND PRINT LTD (“we”, “us”), trading as M&A Signs & Print, collects and uses personal information when you visit this website, ask us for a quote or become a customer. We are committed to protecting your privacy and to handling your information in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

What we collect

  • Quote requests: your name, company (if you give one), email address, phone number, the product you ask about, quantity, size, material, finish, deadline, your message and any files you upload (for example artwork or logos).
  • When you contact us by email, phone, WhatsApp or in person: your contact details and what you tell us.
  • Customers: the details we need to make, deliver or fit your order and to invoice you, such as delivery or fitting address and payment records.
  • Website visits: our hosting provider keeps short-lived server logs (IP address, browser, pages requested, date and time) to keep the website secure and working.

We do not use analytics or advertising trackers. Cookies are explained in our cookie policy.

How we use it and our legal basis

  • To reply to your request and prepare a quote — because you asked us to (steps before entering into a contract).
  • To make, deliver or fit your order and deal with any questions about it — to perform our contract with you.
  • To keep business and tax records — because the law requires it (legal obligation).
  • To keep the website and our systems secure and to stop spam — our legitimate interests in running a safe business.

We only contact you about your enquiry or order. We do not send marketing emails unless you ask us to, and we never sell your information.

Who we share it with

We only share what is needed, with:

  • our website hosting and email providers, who store and send information for us;
  • delivery, fitting or production partners, where needed to complete your order;
  • our accountants and professional advisers;
  • the map provider of our home page: Google, only if you accept Google Maps in our cookie banner — until then the map is a picture sent from our own website (see the cookie policy) — or the OpenStreetMap Foundation, if we show its live map instead;
  • the police, HMRC or other authorities when the law requires it.

Our providers act on our instructions and must keep your information secure.

International transfers

Some of our providers (for example email or map services) may store information outside the UK. When they do, the transfer is protected by UK adequacy regulations or by approved contract terms such as the UK International Data Transfer Agreement or Addendum.

How long we keep it

  • Quote requests and the files you send: up to 2 years after our last contact about them, unless you become a customer.
  • Customer and invoice records: 6 years after the end of the financial year they relate to, as UK tax law requires.
  • Server logs: a few weeks, as set by our hosting provider.

Your rights

You have the right to:

  • ask for a copy of the information we hold about you (access);
  • ask us to correct information that is wrong or incomplete;
  • ask us to delete your information;
  • ask us to restrict or to stop using your information (objection);
  • ask for the information you gave us in a portable format;
  • withdraw your consent at any time, where we rely on consent (for example Google Maps).

Security

Our website uses an encrypted (HTTPS) connection. Files you upload with a quote request are kept in a private area that only our staff can open, and we limit access to the people who need it.

Complaints

If you are unhappy with how we have handled your information, please tell us first so we can put it right. You can also complain to the Information Commissioner’s Office (ICO), the UK data protection regulator: ico.org.uk/make-a-complaint, telephone 0303 123 1113.

Changes to this policy

We may update this policy from time to time. The date at the top shows when it last changed.
